A repeatable selection framework

Eight questions to answer before the quotation.

A strong specification makes the operating assumptions visible. PNSS uses these questions across AV, display, conferencing, signage, library and audio projects so the equipment list can be checked against the real requirement.

1. What outcome must work?

Define the user task, content or operational result before discussing the product.

2. Who uses it and how?

Identify users, participant count, staff roles, guest access and the normal workflow.

3. What is the physical environment?

Measure room geometry, viewing/listening areas, ambient light, acoustics and mounting constraints.

4. What capacity or coverage is required?

Quantify image size, camera reach, audio coverage, endpoints, zones, transactions or content scale.

5. What must integrate?

List sources, displays, DSP, CMS, library platforms, conferencing services, control and third-party interfaces.

6. What infrastructure is available?

Confirm LAN/PoE, internet, power, UPS, rack space, cable routes, VLAN/firewall policy and physical structure.

7. How will it be operated and supported?

Define content ownership, room support, remote management, backups, spares, warranties and lifecycle expectations.

8. How will acceptance be proven?

Set practical tests for image, sound, call workflow, circulation, signage playback, controls and documentation.
